Beware of unauthorized or fraudulent hotel agencies! Please be aware that a= n ever increasing number of fraudulent companies are offering hotel rooms to congress attendees. Companies calling themselves Exhibition Housing Management and Convention Hotel Services have been contacting exhibitors and com= panies supporting the EASD Congress in Hamburg. If you are contacted by any other company or agency offering housing for the EASD Congress 2023 in Hamburg, please note that these companies are not authorized to represent the EASD in any way, nor do they have access to the officially contracted EASD Congress 2023 room blocks or rates. How Does Hotel Fraud Work?

These groups promote attractive deals with local accommodation providers, but once payment has been received, the company disappears and can no longer be contacted by phone or email. Once the attendee contacts the hotel directly about their room, they realise the hotel has no record of them or their stay. Not only is their money gone, they must then scramble to find last-minute accommodation, which is rarely convenient to the venue.

How to Avoid Fraud?

• Book through our Official Accommodation Partner.
• Investigate all documentation regarding the company.
• Use cred= it cards to guarantee your rooms, rather than wire transfers.

Cancellation

Free cancellation is available according to the following schedule:

50% of the booked room allotment per day until 2nd February 2023
20% of the booked room allotment per day until 24th March 2023
10% of the booked room allotment per day until 30th June 2023
Additional cancellations and/or non-arrivals will be charged with the full amount. INTERPLAN tries its utmost to re-sale any late cancelled room to keep the costs for the participants as low as possible. In case of a successful re-sale INTERPLAN will refund any overpaid amount deducted by an administration fee of € 35 net per re-sold room night. This fee is subject to statutory VAT according to German and EU regulation.

Payment

Full pre-payment is required. Payments shall be carried out by bank transfer according to the following schedule:

Upon contract signature, but not before 30th November 2023
Outstanding amount until 2nd February 2023

Changes of the invoice address after contract´s signature will be carried out against an administration fee of € 110 net. This fee is subject to statutory VAT according to German and EU regulation.

Group Administration Fee

For Bookings of 10 and more bedrooms per party, an administration fee of € 250 net applies. This fee is subject to statutory VAT according to German and EU regulation.
